The Best Ways to Enforce Internal Company Policies

The most important thing when it comes to enforcing company policy is to maintain consistency. This is consistency both across all the departments, as well as consistency over time. This ensures that employees are aware of the policies, and that any repercussions (whether it's a verbal warning or terminating an employee) always remain the same so that employees are aware that the company is serious about maintaining these policies. If policy enforcement isn't applied consistently, then some workers may also see this as unfair and bias to certain other employees.

task analysis This type of policy enforcement is predominantly the role of the business' human resource team. It can also be a manager or supervisor who must be responsible for their employees, and are usually the ones who are interacting with the employees on a daily basis and have a better idea of what is happening within the work place.

To begin with, employees need to be aware of the policies that are currently in place. Depending on the policy, it may appear on a policy handbook for your organization, or it could even appear on a pin board, depending on how complex the policy is and who it may be relevant to. Wherever the policy is published, it needs to be accessible at all times so that there are no excuses.

After the policies have been put into place, all relevant parties should have to sign an agreement to adhere to these policies. This provides documented proof that an employee has not only been made aware of the policies, but also that they have actively agreed to adhere to them. You can provide the employee with a copy of the signed form as well.

Now that the policies are published in handbooks, on office walls or wherever they may be relevant, if there are any important policies that need reminding, or if there is even the slightest change in a policy, this can be communicated by email or by memos.

A company should ensure that their human resource team, as well as managers and supervisors are all up to date with the policies, and are actively ensuring that they remain in place and new employees are also made aware of these policies. Your management team may need training on some of the policies to ensure they can answer any questions that employees may have.

Keep a record of any violations of policies that your company may have, to ensure that repeated violations don't occur. Perhaps you will need to speak with particular employees if they have infringed on a policy numerous times. Remember, policies need to be applied consistently. For example, if a high performing sales assistant has been found to be taking longer breaks, the resulting action needs to be exactly the same even if he or she were one of the lowest performing sales staff.

If your company's employees have any questions regarding policies, be sure to explain the answer in clear terms. If you receive the answer from several staff members, perhaps it's time to review and train staff as a group on the policy.
